Terms of service

These terms apply to practices that use Heedlight ("the service"), and to their owners and staff. By creating or using a Heedlight account, the practice agrees to them. Clients who use a practice's portal are covered by the practice's own terms.
1. The service
Heedlight is practice management software: client records, work and deadlines, reminders, a client portal, email handling, invoices and payments. We may improve or change features over time, and we will give reasonable notice before removing anything a practice relies on.
2. Accounts
The practice's owner is responsible for who they invite, the roles they give, and keeping sign-in details safe. Tell us straight away at the address below if you think an account has been misused.
3. Your data
Information a practice puts into Heedlight belongs to the practice. We use it only to provide the service, as described in our privacy policy. The practice is responsible for having the right to collect and use its clients' information, and for the messages it sends them. A practice can download a full backup at any time.
4. Acceptable use
Don't use Heedlight to break the law, send spam, store content you have no right to, or try to get into accounts or systems that aren't yours. We may suspend an account that puts the service or other practices at risk, and will tell the owner why.
5. Plans and payment
The plan is charged per staff member each month, in Canadian dollars, plus applicable taxes. Clients are free. Monthly allowances for email, text messages and AI use are included; use beyond them is charged at the rates on our pricing page. Fees are billed in advance and are not refunded for part of a month. We will give at least 30 days' notice of price changes.
Card payments a practice takes from its clients go to the practice's own Stripe account under Stripe's terms. Heedlight takes no share of them.
6. Leaving
A practice can stop using Heedlight at any time. Download a backup before closing the account; we delete a closed practice's information within 90 days.
7. Availability and support
We work to keep Heedlight running and secure, but can't promise it will never be interrupted. Planned maintenance is announced ahead when possible. Support is by email.
8. Responsibility
Heedlight helps a practice organise its work; the practice remains responsible for its professional advice, filings and deadlines. To the extent the law allows, our total liability for any claim is limited to the fees the practice paid us in the 12 months before the claim, and we are not liable for indirect or consequential losses.
9. Changes to these terms
If we change these terms in a way that matters, we will tell practices by email and in the app at least 30 days before the change takes effect.
10. Law
These terms are governed by the laws of British Columbia and the federal laws of Canada that apply there.
